When they do send you a proposal on the project, you will want to make sure that it contains everything you spoke about, and everything else that should be there. If the answers to any of these questions are missing, you should walk away:

1. What specific services are included in the contract? Are any omitted? Make sure that what you discussed and wanted is included.

2. What is the name or position of the person you will be working with? Are you dealing with a salesperson, a designer, or someone else?

3. Are allowances made for communication with you? Are there any additional fees for contact?

4. How will the company be providing support? By email? On the phone? Do they stop supporting you after a month or so?

5. Are there extra fees for re-optimization or additional consulting? Is it really necessary? What maintenance is provided? If not, what is the additional cost of it? When maintenance is not included with the plan you need to be careful, as there are people who will charge you exorbitant amounts of money to maintain their optimization.

6. What reports are provided and how often will they provide them?

7. What are the total charges? Are there any additional charges?

By taking steps like this you will guard yourself against bad practices, you will also have a better understanding of the service you are getting, and you can easily compare offers to find the best one. But how can you tell if your provider is operating ethically? Well, that’s is pretty easy. Here’s a list of the sales pitches that bad SEO providers will use on you. If you hear any of these from a company, use someone else instead.

1. Guaranteeing top-ranking placements. This is impossible to do since the algorithms of the search engines change often, and any good SEO provider will tell you that.

Keyword Stuffing: Writing almost meaningless text in the site that is basically a long list of keywords. Responsible SEO will use keywords carefully in the text, but like all things, you can overdo it. Search engines appreciate good grammar.
Overdoing RSS: Go ahead and syndicate large portions of your website. But syndicating all of your website may raise a flag. There are rumors suggesting that there might possibly be changes in the way Google indexes RSS in the future.
Bait-and-Switch: Submitting the search-engine friendly page to the search engine, then after it’s indexed, uploading the “real” page. This is a very temporary boost in your rankings.
Irrelevant Keywords: WHY would you promote the keyword “sex” on your site about “widgets”? Do you honestly think someone looking for “sex” will see your site and say, “oh wait a minute, I think I wanted a widget”? If you sell “widgets”, then promote “widgets”, so people who want to buy “widgets” can find your “widgets”.

Sites which use these techniques dilute the relevancy and usefulness of the search engines. The search engine that allows their results to become irrelevant is useless and out of business. No-one will search that engine, no-one will click on their ads, no-one will want to buy or display their ads, and eventually no-one will want to invest in them. Search engines are protecting their investments and their future by ensuring the continuing relevancy and usefulness of their results.

SEO Mapping, Tracking And Reporting

Linking the pages of a website is done because search engines will be more aware of a site’s presence when its pages are found at the other end of industry terms in anchor text contained with content at other locations. The total and quality of those links are factors that help promote rankings; when placed for SEO purposes they should be one-way links rather than reciprocal since reciprocal links are not any help in ranking brownie points and it is prohibitively time-consuming to administer a thousand of them. This is not to be confused with link exchanges; when you can exchange links with the right type of site it can be a positive factor and aid in the solidity of both.

Worksheets must be kept to have a record of what content has been placed where, along with the dates of submission and approval, possibly a link to the published material (which only a small number of general SEO-friendly directories send in). I use an Excel spreadsheet to map out the campaign and have the directory material formatted for quick copy and paste execution. The keyword research goes on one sheet, next the content, and then sheets for general directories. The next sheet lists all the article directories and the cells in line are used to record your username, password, and the terms for the number of hyperlinks allowed in the body and how many in the resource box about the author. Across the page you would format cells recording the dates and actual number of links placed. This way all bases are covered and it’s a simple matter to go in and edit if you discover a mistake or have thought about emphasizing a different page by changing one of the links.

Google doesn’t want sites relying solely on general directories so I limit my list to 300; with article directories I use around 60 and publish a series of industry articles in each. They approve in very different time periods: some are immediate and others take six months to a year. This may be one reason optimization is gradual in nature. Press releases and link exchanges can produce quick results and may be considered a priority in competitive sectors where the search engine optimization plan becomes time-sensitive to avoid losing prospective money.

Tracking progress is essential so that adjustments can be made if an important key phrase is not showing up on the first page. It may be a matter of doing a press release focusing on that phrase or emphasizing titles containing the keyword in your next submissions. Just as all other facets of marketing by SEO, a lot of judgment calls have to be made based on experience, instinct, observation, and intuition.

There are other worksheets to keep so that article material can be pre-formatted to meet the specific requirements of each directory; most of them require plain text but others throw curves into their submission forms that are very different. “About the Author” resource boxes will allow 1, 2, or 3 links in text or HTML and the article bodies might carry 1, 2, 3, or no links at all. Some summary boxes require more than 500 characters, some less than 500, some less than 250, and others less than 100 character summaries.

Analysis on the situation of a page’s optimization per keyword can be done with a software program called WEB CEO that enable you to do reports for clients, study competitors, find links partners, and run reports. I would warn against using any web tool to do automated ranking reports; they are not close to what is shown when done manually. Reports on rankings can be done on a spreadsheet as a list of fifteen key search terms and their weekly placement on Google, Yahoo, AltaVista (owned by Yahoo), Bing, AOL, etc. to give a really big picture or it can be a smaller sampling on two or three search engines if that will satisfy the client. Tip: I avoid placing links in any of my comments and answers.

4. The highly debatable paid links. While I don’t advocate paid links for various reasons, I have seen a few select power links make a world of difference to rankings. The tip here is to use this strategy after a couple of months of serious value driven SEO.

5. Run monthly campaigns in social bookmarking sites to power your keywords. Each month choose one social bookmarking site from the ones you are participating in, and choose one story/article from the previous articles you have bookmarked. The objective in the campaign strategy is to get 15 or more users to vote up your content. This accomplishes two things. A chance that your story gets “hot” and as the author of the content you gain popularity. Hot stories get more votes and links. Also search engines like user voted stories for obvious reasons.

6. Monitoring, Tracking and Reporting. Prepare weekly and monthly reports to track the links you are building.
